Your Role

This role combines Personal Virtual Assistant, Project Manager, and Operations Manager responsibilities, working closely with our CEO in a demanding, strategic capacity. It requires forward-thinking, problem-solving, and operational excellence.

Key Details

  • Availability: Nearly 24/7 (flexible for urgent tasks).
  • Hiring: Immediate.
  • Trial: 1-month paid trial with final confirmation based on performance.
  • Training: 1-2 weeks of intensive, personal guidance from the CEO.

Who We Are Looking For

  • Highly organized and proactive, anticipating needs.
  • Experience in Project Management, Operations, or Executive Assistance.
  • Extremely reliable and able to meet deadlines.
  • Excellent communication skills for sensitive, high-pressure situations.
  • Ability to multitask and prioritize across functions.
  • Willing to work overtime and weekends, especially initially.

Key Responsibilities

Project & Operations Management

  • Oversee daily business operations and ensure smooth execution.
  • Assist in strategic planning and company-wide projects.
  • Manage and improve workflows and documentation.

Personal & Executive Assistance to CEO

  • Manage the CEO’s schedule, emails, and flagged communications.
  • Act as gatekeeper, prioritizing essential tasks.
  • Prepare high-level documents and reports.
  • Attend meetings, take notes, and follow up on actions.

Team & Task Coordination

  • Support cross-functional collaboration across Marketing, IT, HR, and Operations.
  • Coordinate projects and ensure accountability.

Technical & AI Tools Management

  • Use Microsoft 365 tools: MS Teams, Outlook, Planner, Azure Boards, To-Do.
  • Leverage AI & automation tools like ChatGPT and others.
  • Optimize processes via technology and automation.

Requirements

  • Advanced knowledge of Microsoft 365 suite and AI tools.
  • Stable internet, quality tech setup for virtual meetings.
  • Commitment, flexibility, and the ability to handle pressure.
